How to
Transcribe Google Meet Recordings for Free
Google Meet is Google’s
proprietary online video conferencing platform. It’s got a pretty simple and
straightforward user interface and lets multiple people meet with one another
remotely. Google Meet works on most web browsers and lets you share your
presentations, videos, and desktops with customers, colleagues, and friends.
Recurring team meetings and
customer support calls are important for understanding the needs of your
clients, making crucial business operation decisions, and closing deals. But as
you make more and more calls, it starts getting harder and harder to monitor
all the information being transferred.
This is where transcription checks
in. Let’s start by finding out what transcription is before we get to
everything else.
What
is Transcription?
Transcriptions are printed or
written versions of dialogues or conversations, appearing as text. Meaning it
is basically just converting the speech from audio content into text.
Transcribing Google Meet calls can provide you with a paper trail of the
meeting, which can be incredibly useful for important calls where you’ll need
to generate attendance records, remember the action items and decisions, etc.
When you transcribe your customer
support dialogues, sales calls, and internal meetings, you get the chance of
having written records of all the conversations, helping make it easier to
monitor and review operations as well as make referencing information more
straightforward.
For instance, transcribing your
calls can help you;
●
Document all
the decisions made in meetings for future reference
●
Identify
feature requests and customer pain points from support dialogues
●
Train new
sales representatives on common objections and best sales call practices
And so on. These are just some of
the few things transcription can help you with. But before you can transcribe
your Google Meet call, you’ll need to record it first.
How to Record Google Meet Calls
Unfortunately, not everyone can
record their calls on Google Meet. One of the requirements you need to meet to
record video meetings is that the Google Workspace administrator must grant you
recording access and you must be either the co-host, host or a part of the
host’s organization.
With that said, there are three specific
ways you can record your call on Google Meet:
1.
Use
Google’s Built-In Recording System
Google’s in-built recording
application is available exclusively on the Google Workspace platform, though
not for everyone. Meaning company accounts, premium members, and educators are
the ones that can use the recording feature.
If you’re on Google Workspace, you
can record the call via Google;
●
The Google
recording feature saves files shared, screen sharing, and the active speaker,
but it won’t record captions
●
It can record
meetings for a max of 8 hours
●
It will save
the call in the My Drive > Meeting Recording tab
●
Google will
notify you via email when you’re meeting recording is ready, and then is when
you can share it with others.
●
You can’t
record meetings from the Apple or Android app.
●
You can only
record if you’re the host.
If you’re not a part of the Google
Workspace platform, you won’t have access to this recording feature.
2.
Using
Conversation Intelligence Software
Most AI-based notetakers or
conversation intelligence software can not only transcribe meetings but record
them as well. If you want a tool that can only record and transcribe calls on
Google Meet, one that stores the recordings of the meetings in a central place,
then you may want to consider checking out Fireflies.ai and Otter.ai.
If you want a tool designed to
handle sales and customer calls on Google Meet, create snippets and share them
with prospects and team members, provide scorecards for easy monitoring of
employee performance, and offer call-to-action highlights, then the likes of
Chorus. Ai and Gong.ai are what you should look at.
3.
Using
a Screen Recorder
This is more of a creative hack
when it comes to recording calls on Google Meet. There are many paid and free
tools you can use to help you record a call on Google Meet, but you need to be
careful when using them. Not only can they occupy a lot of your hard drive’s
storage space but they can drain the device’s battery pretty fast as well.
Some of the best screen recording
tools for this include; Screencast-O-Matic, Icecream Screen Recorder, Movavi
Screen Recorder, Kimcy929 Screen Recorder, AZ Screen Recorder, TechSmith
Capture, and Record it.
How to Transcribe Your Call via a Third-Party Tool
Now that you have an idea of how
to record the meeting, you can now learn how to transcribe it, and the best way
to do this for free is by using AI-based technology. This article will be using
Notta as an example to show you how to transcribe Google Meet recordings for
free.
With that said, there are two
specific ways you can use Notta to transcribe your Google Meet recordings. You
can either;
●
Upload
meeting recordings to the AI-Notetaker
●
Send a bot to
live to transcribe your call
If you want to transcribe a Google
Meet call recording, you’ll need to;
●
Go to Google
Drive, click the Meet Recordings tab, and select the file you’d like to
transcribe.
●
Go to
Notetaker’s dashboard and then click Import Files on the right side.
●
Click the
Select Documents option to upload files from the device or drag and drop the
meeting recordings.
If you want to use a bot to record
live calls on Google Meet;
●
Go to the
dashboard.
●
Click the
Meeting Details options at the bottom of your Google Meet display screen.
●
Next, click
the Copy Joining Info option.
●
Go back to
the dashboard and click the Join Live Meeting option on the right-hand side.
●
Paste the
copied URL.
●
Clicking the
Transcribe Now tab will send the bot to automatically join your Google Meet
call and transcribe it.
Automating the transcription
process can help save a lot of time and free you up to focus on other important
tasks.
Reviewing
To enhance your transcription
accuracy, you’ll need to select the right transcription language. The
speech-to-text conversion will start as soon as you complete the upload.
Depending on how big the file size is, it might take a couple of minutes or so.
You can only upload files sized 1GB and lower. Most AI tools of this nature can
convert 6-hour audio recordings to text in around 6 minutes or so.
Exporting
and Sharing
If you want to save your transcripts
in PDF, SRT, DOCX, or TXT format, click the Export button. You can also share
your transcripts with friends, family, and colleagues online by using a unique
link. If there’s something in the content you don’t want to share, select the
text blocks you’d like to send and click the Share option to create clips.
Benefits
of Using Third-Party AI Tools to Transcribe the Meeting
Some of the reasons why it’s good
to transcribe your recordings this way include:
1.
Security and
Privacy – Most AI-Notetakers comply with security rules and regulations like
CCPA, APPI, GDPR, and, of course, SSL. To safeguard your privacy, these AI
tools also encrypt information with S3 and AWS RDP services.
2.
Online
Collaboration – In most team workspaces linked to AI software, all the members
typically can add notes, edit transcripts, access all dialogues, and send Bots
live transcribe calls on Google Meet.
3.
High Accuracy
Levels – Most AI Notetakers and conversation intelligence tools are constantly
improving their voice recognition accuracy by using high-tech machine learning
algorithms. The accuracy of transcriptions for high-quality speech content
typically surpasses 95% in most scenarios.
4.
Seamless
Workflow – When you have an account with AI-based software, usually you can
easily log in to the website and mobile simultaneously. Meaning you can
automatically synchronize your transcription between your tablets, phones, and
desktop device.
5.
Multiple
Formats – Most AI-based tools of this nature support several different audio
formats, including WMV video, AIFF, CAF, and M4A. WAV, MP3 as well as FLV, AVI,
RMVB, WMV, MOV, and MP4 video formats. You can also use the tool to transcribe
YouTube videos online.
Google Workspace Transcripts
Here’s where you’re going to get a
better idea of how to transcribe Google Meet recordings for free. Why? Because
you’re going to find out how to leverage the transcripts feature in the Google
Workspace platform.
Google Workspace administrators
can grant their users permission to save transcripts of their meetings in Google
Meet in the form of a Google Docs file. This feature is typically on by
default, but it isn’t automatic for all calls. One of the meeting participants
needs to initiate the transcription. Meeting transcriptions save to the Google
Drive of the meeting organizer and occupy less storage than call recordings.
Make sure you’re using a Google
Workspace account that supports transcription. If you’re using a Business
Standard account, you can switch off the transcription feature from the Admin
Console.
Turning
on the Transcripts Feature in Google Meet
If host management isn’t on, any
meeting participant from the domain of the host can switch on the feature.
However, if host management is active, only the co-host and the host can turn it on
What you’ll need to do to turn
Transcripts on is;
●
On your
device, start or join a call in Google Meet
●
Click the
Activities option at the bottom right of the screen
●
A Transcripts
option will appear. Click and then start the transcription.
When the Transcripts feature is
on, there’ll be a blue icon display at the top of everyone’s display to notify
them transcribing is going on.
If you want to stop the
transcription, use the same process above but this time in the end click the
Stop Transcription option. However, the transcription process stops
automatically once everyone leaves the meeting. Unfortunately, though, you
can’t pause the feature. You’ll have to start fresh whenever you stop it.
Finding
the Transcripts
After the transcript is complete
and has been saved, the meeting administrator, meeting hosts, meeting co-hosts,
and the meeting participant who initiated the transcripts feature to get a
message via email containing a link to the transcription file.
Meeting administrators can also
find the transcription file in the Meet Recordings folder in their Google
Drive. They can normally access these files within a couple of hours of the
Google Meet call, but it can sometimes take as long as 24 hours.
To find the transcription file, go
to your Google Drive and look for the term “transcript,” which is typically
included at the end of the file name. If the call is linked with your Google
Calendar and it goes on as scheduled, Transcripts will automatically transcribe
the meeting.
Editing
the Transcript
After everything has been saved,
the meeting administrator, meeting hosts, meeting co-hosts, and the meeting
participants that turned on the Transcripts feature automatically have
permission to edit the file. If the Google Meet call had lower than 200
participants, all of them are allowed to edit the transcription file.
Furthermore, anyone that’s allowed to edit can rename, share or move the
transcription file similar to how they would to any other Google Docs file.
Why You Should Consider Transcribing Your Meetings
While Google Meet calls and
meetings have many benefits, there are a few challenges that come with it. Some
participants might end up daydreaming during the meeting while others might end
up doing other work instead of focusing on the call.
Transcription can help you
overcome these issues and help make all your meetings on Google Meet more
effective. Here are some of the reasons why you should consider transcribing
your Google Meet recordings and meetings.
1.
Increase
Reach
These days, most businesses
typically operate in a tiny, interconnected realm, with no boundaries. Entities
don’t need to hire staff from the country they're located in anymore and, in
the same light, don’t have to do business with local players as well.
However, with all this freedom and
flexibility comes the issue of cultural differences, language barriers, and
different time zones, which makes it harder for organizations to facilitate
business operation communications.
Transcribing your Google Meet
recordings and meetings can help promote asynchronous communication between
managers, staff, and clients in different time zones. It allows you to send
accurate, post-meeting transcripts to meeting participants even if they can’t
attend.
2.
Improves
Inclusion and Accessibility
As informative and essential as
most Google Meet calls tend to be, they usually overlook the issues of
individuals with auditory sensory problems. When you transcribe your meetings,
you ensure people who can’t hear properly can still participate.
However, it isn’t all about the
participants who’ve got hearing issues. Meeting participants can also miss out
on important information because of an unstable internet connection or excess
background noises. Transcripts help remedy this problem.
Additionally, for individuals who
understand things better when they read compared to when they hear them,
multitaskers, and those who are prone to zoning out, it offers valuable meeting
information on demand.
3.
Enhances
SEO
Search engine bots can’t index
audio files, which simply means Google can’t “listen,” so to speak, to that
kind of content and rank it. Right now, search engine platforms can only pick
up keywords in written content. So, having transcription files makes it easier
for Google, Bing, and the like to find your audio content and rank it. It helps
you easily extract keyword-rich content that can help make the audio file
searchable.
Besides being great for
referencing in-house, Google Meet recordings can also be used to develop
effective backlink strategies to help promote content and increase site
rankings. And when you have enhanced SEO and better site rankings, you have a
chance to increase your reach and even boost lead generation.
4.
Decreases
Chances of Miscommunication
Having too many meeting attendants
in a Google Meet call take half-baked transcriptions and notes is similar to
having too many cooks in the kitchen. They’re bound to spoil the broth.
Transcribing meetings can result in better comprehension overall, but not when
the transcriptions don’t make sense.
Most meeting attendees make notes
based on their own individual understanding and integrations. Manual
transcription can result in distortion and misinterpretation of meeting facts.
This is both distasteful and dangerous, especially when some of the meeting
attendees are customers/clients and third parties.
Using Google Meet Transcripts or
conversation intelligence tools will provide a central source of information
for all meeting participants, reducing the chances of probable
misinterpretation and miscommunication. These technologies transcribe verbatim
and don’t have biased views and opinions.
5.
Ensures
Legal Compliance
Some companies are legally
obligated to record their video conference meetings and offer transcripts,
depending on the industry. The legal and financial sectors are often prone to
this. However, even though you might not be required to transcribe your
meetings, making Google Meet call recordings for future reference adds a solid
layer of legal protection.
By incorporating transcription
into your Google Meet calls you’ll make it easier for both financial and legal
professionals to skim through hours of dialogue and remove the chances of
mistakes that come with manual transcription.
This gets even more important when
interviewees, third-party agencies, customers, and even staffers claim verbal
contracts and there’s a need for proof of whether the contract was actually
made or not. For instance, a client claims one of the managers or salespeople
committed to a deal for a certain amount. Now the customer is claiming a verbal
contract violation even though you’re not really sure if that said agreement
was ever made.
6.
Quick
Searches of Content
Google Meet calls are a great way
of brainstorming and sharing ideas, meeting upper management and customers as
well as training team members. However,
it’s common for meeting attendees to leave meetings not remembering anything
that was said or discussed.
On the other hand, listening to a
whole recording just to get some specific information can sometimes prove
frustrating and time-consuming. Fortunately, transcription tools can find this
information in a few minutes. Users can search for specific phrases or keywords
in the transcription file or use speaker labels to filter information.
Alternatively, you can also use
timestamps and track specific keywords to find action tasks and items. This
helps make sure you never overlook important information.
7.
Enhances
Transparency
Over 60% of all customers and
clients feel brand transparency is an important factor to consider before
signing any agreement. So, when you have call recordings and transcriptions,
you can provide your customers and prospects with meeting recaps to make them
feel confident and valued in the products and services you offer.
In the same breath, you have
Google Meet calls with board members, staffers, and other shareholders,
post-meeting transcripts will help facilitate a level of both trust and
transparency. And, as you probably know, transparency and compliance go
hand-in-hand. Everyone wins.
8.
Repurposing
of Content
Google Meet calls are storehouses
of data and can provide golden nuggets of crucial information that you can
reuse. For instance, having a product team meeting will give you a chance to
understand the product better.
But, this information is usually
not available to other employees and customers. Whether the info is for private
or public use, organizations should take advantage of all the things they can
do with meeting transcripts.
Transcribing your Google Meet calls allows you to archive information
for future referencing. It makes things easier for management, staffers,
customers, and the organization as a whole.
Conclusion
Hopefully, now when someone asks
you how to transcribe Google Meet recordings for free you’ll have an idea of
what to do. As you can see, it’s not as hard as most people tend to think. The
Google Workspace Transcripts application is available on a laptop and computer.
Sadly, though, only the English language produces accurate transcriptions.
Lastly, transcription files are
saved in the Google Drive of the meeting administrator and meeting host for
three months. If you want to keep meeting transcription files longer, you’ll
need to transfer the transcripts to another folder in Google Drive.
Also, transcription files only
have what was spoken during the call and not what was said in the chat box. So,
you’ll need to record the meeting if you want to get a transcription of the
chats.
